Overview

Reporting to the Executive Director, Governance and Administration, this role oversees the daily operations of the Administrative Offices and leads the executive administrative support team. This role plans, directs, and coordinates administrative functions to ensure effective, efficient, and highly professional office operations. The Supervisor assigns, oversees, and evaluates work within a complex, fast-paced environment while serving as a trusted partner in maintaining a culture of precision, discretion, and proactive support consistent with the medical center’s commitment to world-class care.

Responsibilities

  1. Oversees daily administrative operations of the DHMC Administrative Office to ensure efficient workflow, responsiveness, and alignment with leadership priorities.
  2. Manages complex executive scheduling and meeting coordination for the Chief Operating Officer, Chief Clinical Officer, and other senior leaders, balancing competing priorities and anticipating needs.
  3. Reviews, analyzes, and manages sensitive and confidential information, ensuring appropriate dissemination, protocol adherence, and organizational discretion.
  4. Builds and sustains strong working relationships with executive leaders and staff, serving as a trusted resource and central point of coordination for administrative functions.
  5. Leads, hires, orients, develops, and evaluates the Executive Administrative support team, establishing clear expectations, performance metrics, and accountability standards.
  6. Coaches and mentors the Executive Administrative staff to strengthen capabilities, engagement, and ownership of work while fostering a collaborative, inclusive office culture.
  7. Tracks administrative workflows, identifies intersections across functions, and ensures delegated tasks and leadership priorities are completed accurately and on time.
  8. Exercises sound judgment in escalating issues, communicating updates, and ensuring leaders receive timely, relevant information to support decision-making.
  9. Maintains a welcoming, highly professional administrative environment and serves as an ambassador for the office by strengthening systems, infrastructure, and service excellence.
  10. Identifies opportunities to improve administrative processes, implements enhancements, and performs other duties as assigned or required to support executive leadership and organizational priorities.
  11. Performs other duties as assigned or requested

Qualifications

  • Bachelor’s degree in Healthcare Administration, Business, or a related field; equivalent combination of education and progressively responsible administrative leadership experience considered.
  • Minimum of five (5) years of experience in executive administrative support, office management, or administrative supervision, preferably within a complex healthcare, academic, or similarly matrixed organization.
  • Demonstrated ability to lead and coordinate administrative teams in fast-paced environments, exercising sound judgment, discretion, and independent decision-making while managing competing priorities.
  • Proven effectiveness in building collaborative relationships with senior leaders and stakeholders, maintaining professionalism, composure, and confidentiality when handling sensitive or complex matters.
  • Strong organizational, analytical, and problem-solving skills, with the ability to assess priorities, manage ambiguity, and drive work to completion both independently and through others.
  • Advanced proficiency in Microsoft Office Suite and administrative technologies (e.g., Smartsheet or similar workflow/project tools) required
