  • GENERAL SUMMARY
    • Coordinate the daily activities and staff of the Women’s Health Practice, while working in both clinical and clerical roles. Monitor that the quality, performance measures and compliance standards are met, and support the goals of the organization.
  • KEY RESPONSIBILITIES

    • Practice Operations

      • Collaborates in establishing the procedures and guidelines for quality services in the department. Works with physicians/practitioners to assess specialty needs for support.
      • Assures that the appointment scheduling processes are meeting the needs of patients and providers.
      • Schedules staff and resources to deliver services.
      • “Troubleshoots” daily operational issues and problem solves with staff for an acceptable solution. Refers issues to the Practice Manager as appropriate.
      • Maintains own professional competence through Continuing Education.

      Clinical Support Responsibilities

      • Performs basic administrative medical assisting functions and monitors patient appointments.
      • Prepares patients for examinations, procedures and treatments, and assists with examinations, procedures and treatments.
      • Utilizes accepted and established processes and procedures of care in interactions with all patients, to include: obtaining and documenting patient history, symptoms, vital signs, and responses to interventions, and all other areas of the patient screening process, as well as reporting progress to providers.
      • Demonstrates the skills necessary to provide age-appropriate care to the populations served.
      • Prepares and maintain examination and treatment areas, and creates and maintains the patient care environment to include: meeting all safety standards, maintaining cleanliness and inventory of supplies and sterility/cleanliness of equipment.
      • Complies with quality assurance practices
      • Collects and processes patient specimens, and screens and follows up patient test results.
      • Performs diagnostic POCT testing.
      • Prepares and administers medications and immunizations.
      • Maintains medication and immunization records.
      • Recognizes and responds to emergencies.
      • Coordinates patient care information with other health care providers.
      • Schedules surgeries, provides correct paperwork to patient and surgical services.
      • Obtains pre-certification for patient procedures.
      • Pre-certifies surgeries, MRI’s CT’s and any other ancillary tests, as necessary.
      • Completes and processes referrals for Women’s Health provider’s patients.
      • Schedules ultrasounds with Radiology.
      • Performs 9n-room support for surgical procedures (i.e. IUD insertions, biopsies, colposcopies, cryotherapy for wart remove, etc.)
      • Books surgical procedures for cases with the operating room.
      • Travels between sites daily to deal with early cases before scheduled clinics.

      Receptionist Duties

      • Answers the phone, taking clear and legible messages, and forwards, as appropriate.
      • Answers incoming lines and schedules patients.
      • Provides assistance, guidance and direction to all visitors and callers.
      • Schedules and cancels appointments for patient following practice protocol.
      • Retrieves demographic and insurance information from new patients, and updates demographic and insurance information on existing patients, as necessary.
      • Answers routine billing questions, seeking assistance as necessary, in order to address all inquiries in an accurate and timely manner.
      • Ensures payments at time of service, as appropriate, and issues receipts, as requested.
      • Places transcription in charts, copies medical records, and pulls and files charts.

      Staff Development

      • Supervises and leads assigned staff.
      • Monitors staff performance according to agreed expectations and coaches for improved performance.
      • Assists Practice Manager with performance reviews.
      • Promotes career development for staff according to individual and organizational needs.

      • Tracking attendance through the NLH attendance policy, speaking with manager regarding disciplinary issues.
      • Scheduling staff and resources to deliver services.
      • Working with Practice Manager to deliver yearly evaluation and goals to staff.
      • “Troubleshooting” daily operational issues and problem solving with staff for an acceptable solution. Referring issues to the Manager and Patient Access Supervisor

  • POSITION REQUIREMENTS
    • Knowledge / Skills / Abilities

      • 1 to 2 years experience in Surgical Medical Office
      • Experience with EKGs and as an assist in minor surgical procedures
      • Supervisory experience preferred

      • Associates degree preferred
      • Or equivalent in education and experience
      • Valid CMA certification or LPN license
      • CPR certified

  • Work Status: Monday-Thursday 8a-5p at NHC and Friday 8a-5p at NLH. ;
